Overview
A warehouse management platform built for a growing 3PL operation that had outgrown a basic warehouse system.
The Challenge
The business began as a startup focused on capturing the market. As it grew into a 3PL operation with multiple warehouse locations and bin-based storage, operational complexity increased quickly.
Daily inventory mismatches became common. Stock-in and put-away processes were failing at an estimated 20–30% rate, and the existing barcode-scanning system could not reliably support the operation. Staff were also relying on spreadsheets and manual communication.
Client retention had fallen from around 80% to approximately 59%, while competitors were offering client portals, dashboards, and better visibility.
The Solution
Xupyter built a warehouse management system around the actual workflow of a 3PL warehouse. The first version was introduced as an MVP at one location so the workflow could be validated before expansion.
The system introduced barcode scanning, put-away workflows, bin-location management, inventory visibility, real-time notifications, secure client portal access, and operational reporting. It was then expanded for multi-warehouse operations.
Key Capabilities
- Barcode scanning
- Put-away management
- Bin location management
- Multi-warehouse management
- Inventory overview
- Real-time notifications
- Secure client portal
- Operational reporting
How It Works
Incoming stock can be scanned and processed through put-away workflows, with inventory associated with warehouse and bin locations. Clients receive controlled portal access to relevant information. Notifications surface operational events and management receives consolidated reporting.
Impact
The MVP demonstrated major success at one location. After wider rollout and marketing, the business saw significant client growth and fewer operational errors. Client retention increased to approximately 92–93%. Staffing reduced from 39 people to 31 while the warehouse continued to be managed successfully. Excel-based work and missed requests were substantially reduced.
